Volunteer Instructions

A successful summer swim league is accomplished with the invaluable help of our parents. We rely on our parents to run our meets during our 5-week program. Therefore, there is a mandatory parent participation requirement. We ask that each family volunteers at 6 different meets where they only have to work 1/2 of the meet. This is a great way to meet your neighbors and neighborhood children and get front-row seats for the meet.

If there are circumstances that prevent you from meeting your participation requirement, you can choose to "Opt-Out" and pay $250 directly to the Bluefins. This payment must be communicated during registration.

Training

  • Some assignments require training before our first meet. Every team in the league will be using Meet Maestro this year. We no longer will be using Hy-Tek. Meet Maestro is a cloud-based software for swim meets and is a part of Swimtopia.
  • If you are interested in volunteering as our computer clerk, you will be required to watch a training video (of course, I will be there to help). Videos can be found under Meet & EventsTraining Resources.
  • If you are interested in Stroke & Turn Judge assignments, you must watch the training videos before our meets. Videos can be found under Meet & EventsTraining Resources.

Meets/Day of Your Assignment

On the day of the meet, you

  • will arrive at the meet and must sign in at the Volunteer Check-In table. You will be given a lanyard and any necessary supplies.
  • All volunteers must check in at the check-in table by 5:30p. This includes second-half volunteers**

**NOTE- If you are assigned to a second half assignment, and you know you do not make the 5:30p check-in time, you must notify the volunteer coordinator as soon as possible via email or the Remind App if it is the day of the meet.

  • All meets start promptly at 6 pm.
  • There is a volunteer meeting for all timers 15 minutes before the start of the meet. Please make sure you listen for the announcement. It is your responsibility to listen for this announcement and arrive at your assignments on time. When volunteers do not get to their assignments promptly, the volunteer coordinator has to go and search for volunteers and the meet becomes delayed.
  • When you have finished your assignment, remember to return all supplies to the volunteer check-in table.

Modifying/Canceling Assignments

  • You can modify/cancel your assignments before the meet at any time through Signup.com. However, if you have to cancel your assignment on the day of the meet, it is YOUR responsibility to find a replacement AND notify the volunteer coordinator as soon as possible.

Communication

  • Please make sure you download the Remind App. This is vital to staying informed with last minute changes to meets and practices and other important updates and information. You can join the class by using the link found on the main page.
